Privacy Policy

    This policy explains what personal data Eventable (“we”, “us”) collects when you use eventable.ai and app.eventable.ai, why we use it, who we share it with and the rights you have. If you have any questions, please contact us.

    Data we collect

    Information you give us

    • Account details: your name, email address and password (stored only as a secure hash), or your basic Google profile if you sign in with Google.
    • Profile information: optionally a profile photo, bio, contact details and social links. You choose what to add and can change your privacy settings.
    • Content you create: posts, replies, direct messages, photos, comments, votes, session bookmarks, feedback, issue reports and feature requests.
    • Messages to us: anything you send through our contact form.

    Information created when you use Eventable

    • Which events you have access to and your role at each (for example attendee, speaker or sponsor).
    • Points you earn and your position on event leaderboards.
    • Records of emails we send you (for example login links and notifications) and whether they were delivered.
    • Basic technical information needed to run the service securely, such as server logs.

    Event organisers may also add your name and email address to an event’s guest list so they can invite you.

    How we use it

    • To provide the service: creating your account, signing you in and showing you the events you’ve been invited to.
    • To run the features you use, such as the feed, messaging, networking, photo gallery, leaderboard and feedback.
    • To send you service emails: login links, password resets, invitations, and notifications about replies, messages and connections. You can unsubscribe from notification emails at any time using the link in the email.
    • To share session and event feedback with the organisers and speakers of that event.
    • To keep Eventable secure, prevent abuse and fix problems.

    We rely on the following legal bases under UK and EU data protection law: performing our contract with you (providing the service you signed up for), our legitimate interests (keeping the service secure and improving it), and your consent where we ask for it. We do not sell your personal data and we do not use it for advertising.

    Who can see your information

    • Other people at the same event can see your profile (subject to your privacy settings) and the content you post in that event.
    • Event organisers and admins can see the attendee list, feedback and other event data needed to run their event.
    • Direct messages are visible only to the people in the conversation.

    Service providers

    We use trusted providers to run Eventable. They process data on our behalf and only as we instruct:

    • Supabase — database, authentication and file storage, hosted in the European Union (Ireland).
    • Vercel — hosting for the website and app.
    • Resend — sending emails.
    • Google — only if you choose “Continue with Google” to sign in.

    Some providers may process data outside the UK and EU. Where that happens, we rely on appropriate safeguards such as the UK International Data Transfer Addendum or the EU Standard Contractual Clauses.

    How long we keep it

    We keep your account and content while your account is active. If you ask us to delete your account, we delete or anonymise your personal data within 30 days, except where we need to keep something to meet a legal obligation.

    Your rights

    You have the right to access, correct or delete your personal data, to object to or restrict how we use it, and to receive a copy of it in a portable format. You can update most profile information yourself in the app. For anything else, contact us. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office (ico.org.uk) or your local data protection authority.

    Children

    Eventable is not intended for children under 13, and we do not knowingly collect their data.

    Changes to this policy

    We may update this policy from time to time. If we make significant changes, we’ll let you know in the app or by email.
